The biggest expense of a family trip doesn’t disappear because of a particularly early flight or a few saved glaces. It disappears when you don’t pay for a hotel. Who doesn’t want to save money? Planning a family trip on a budget without a hotel Wants, but wins far more than just money: space for everyone, a kitchen for relaxed mornings, and a sense of living that is especially valuable with children.
We have often noticed on trips how quickly a supposedly cheap hotel becomes expensive. Two rooms, breakfast for four, dinner on the go, parking – in the end, the daily budget was already half gone before the first trip. A vacation rental can solve the problem, but even that costs quite a bit in the high season. For us, it is Apartment swap That's why it became a much more exciting path.
Planning a family travel budget without a hotel: first the accommodation
Before comparing attractions, restaurant recommendations, or car rentals, you should clarify the accommodation question. It not only determines your price, but the entire rhythm of your trip. With young children, a hotel room for three or four people can become very cramped after two nights. With school-aged children, different sleeping schedules, wet swimsuits, and the desire for a break in between come into play.
When you swap apartments, you live in a real home. Most often there are separate bedrooms, a washing machine, toys, books, a balcony or even a garden. That’s not luxury; it makes family travel easier. When a child needs a quiet afternoon, the whole family doesn’t have to whisper in the hotel room.
With HomeExchange You make your own home available to other members and can live with them for that purpose. At first glance, the principle sounds bigger than it is. In practice, it involves clear agreements, mutual respect, and a profile that honestly shows how you live. It is particularly helpful for families to specifically look for apartments with children's rooms, high chairs, a garden, or good public transport connections.
Of course, apartment swapping isn’t suitable for every trip. For a single overnight stay on a road trip, organizing it sometimes isn’t worth it. However, if you want to stay in one place for a week or more, it can significantly reduce your travel budget. And the longer you stay, the better the concept usually works in everyday life as well.
Does not just count nights spent, but travel days as well
Many budgets fail because only the big expenses are listed: travel, accommodation, and maybe tickets. However, it’s the small, recurring expenses that add up with children. A realistic family budget therefore needs a long-term view.
We are happy to split the costs into five categories: travel, accommodation, food, mobility on site, and experiences. If the accommodation thanks to the apartment exchange It costs almost nothing, and suddenly there’s room for things that actually make the trip more enjoyable. A spontaneous boat trip, a good dinner, or a rainy day at the museum don’t feel like a budget issue anymore.
For planning, a simple calculation is sufficient for a start. Take the total amount you want to spend, subtract the return and return travel, as well as fixed bookings, and divide the remainder by the number of days of travel. This gives your daily budget. It doesn’t have to be kept exactly in Swiss francs or cents. It’s meant to help you make good decisions on the go without constantly calculating.
An example: You plan to spend ten days at the seaside and want to spend a total of 2,500 euros. The cost of travel is 700 euros, insurance, and booked excursions add up to 300 euros. 1,500 euros remain for food, mobility, and spontaneous activities – that’s 150 euros per day. Without the hotel bill, this becomes a budget that a family can really travel on instead of just saving money.
The kitchen is your silent budget helper
Having a kitchen doesn’t mean you have to cook every day on vacation. It gives you freedom of choice. Eat breakfast relaxed at home, pack snacks for the beach, and only decide in the afternoon whether you want to eat today. Breakfast at the hotel is often a standard that is too expensive for families and that no one really needs.
Our first purchase at the holiday destination is therefore deliberately simple: bread, fruit, yogurt, water, pasta, tomato sauce, and a few favorite snacks for the children. After a long journey, the refrigerator is filled, and the first evening doesn’t have to start with the search for a family-friendly restaurant.
Don’t be too ambitious in this regard. If you want to prepare every meal yourself, you’ll quickly spend a lot of time in the supermarket and in the kitchen. Our good middle ground: Breakfast and part of your lunches at home, plus two or three restaurant visits per week. In cities, a visit to a market can in itself be a small travel experience – and often the picnic in the park tastes better than the quick meal right next to the attraction.
Traveling cheaper doesn't mean avoiding every edition
A family budget works better with priorities than with prohibitions. Determine in advance what activities you would like to spend money on. For us, these often include special activities that you cannot do at home: a kayaking tour, a castle tour, a regional cooking class, or admission to a nature park. Other things are simply allowed.
Living in one place instead of driving daily also saves you money on gas, parking, and nerves. Many families underestimate how expensive and exhausting constant relocation can be. Two locations for two weeks can make sense. Seven accommodations for seven nights are rarely the relaxed getaway they appear on a map.
Also, take a look at the situation regarding the exchange apartment. A nice accommodation outside the city can be ideal if you travel by car and are looking for nature. However, for a city trip it can become expensive if you have to buy tickets every day, park in a parking garage, or take long taxi rides. An apartment within walking distance to a playground, supermarket, and bus line often saves more than a more affordable accommodation on the outskirts.
This way, the apartment exchange remains relaxed
The financial benefit is great, but the good feeling comes from preparation. Write to host families personally and specifically. Why are you interested in their home? Who is traveling with you? What information do you have? And what can they expect from your home? A friendly message that shows that you have read the profile opens significantly more doors than a mass request.
Your own profile should also not appear staged; it should be authentic. It should honestly describe the rooms and provide realistic information about sleeping accommodations, as well as mention any special features such as stairs, pets, or a quiet neighborhood. Families want to know whether everyday life works here. It is this openness that creates trust.
Before departure, we always discuss the same points:
- How is the key handover done, and is there a person available on site?
- Which devices, foods, or areas should we not use?
- Where are the supermarket, pharmacy, playground and the nearest bus stop?
- Are there any signs for trash, parking, pets, or the washing machine?
That sounds like a lot, but it’s usually done in just a few messages. Instead of starting as clueless guests, you’ll almost feel like neighbors for a while.
Create a buffer, not every day
A good budget always has a small margin of safety. Children get sick, the weather changes, your favorite bakery turns out better than expected, or the train is cancelled. Those who have already budgeted every euro feel immediately stressed when such moments occur. We prefer to reserve ten to fifteen percent for the unexpected and are happy when there is some left over at the end.
The same applies to the itinerary. The best apartment with a kitchen, washing machine and sofa is also valuable because you don’t have to constantly consume. A slow morning, a game afternoon or noodles on the balcony are not part of the failed vacation days. Often it is these hours that children remember later.
So if you’re planning your next trip, don’t start by asking which hotel is currently offering a discount. First, look at what doors your own home can open. Perhaps the very thought of saving up will lead you to the exact trip you otherwise wouldn’t have been able to afford.
